This Privacy Policy explains what information Sync Reviews ("Sync Reviews," "we," "us," or "our"), a product of Devbion LLC ("Devbion"), collects, how we use it, how we protect it, and what choices you have. This policy applies to everyone who uses our platform — business owners, their team members, and customers who record video reviews.
We have written this in plain language on purpose. No buried clauses, no legal fog. If something is not clear, contact us at support@syncreviews.com and we will explain it like a normal human being.
By using Sync Reviews — whether through our website at syncreviews.com, our platform dashboard, the QR code review process, or the embeddable reviews widget — you agree to the practices described in this policy.
1. Who This Policy Applies To
Sync Reviews serves three types of users. Each interacts with the platform differently, and each has different data involved:
Business Owners and Administrators ("Account Holders")
You create a Sync Reviews account, manage your team, view your dashboard, and control how your reviews and portfolio are used.
Team Members ("Crew Members")
You are added to a Sync Reviews account by your employer or business owner. You receive a unique QR code and may upload before-and-after project photos.
Customers ("Reviewers")
You scan a QR code after a home service job and record a video review. You do NOT need to create an account, download an app, or log in.
2. Information We Collect
2.1 Information You Provide Directly
Account Holders:
- Full name
- Email address
- Phone number (if provided)
- Business name
- Business address (if provided)
- Password (encrypted — we never see or store your actual password in plain text)
- Payment and billing information (processed securely through our third-party payment processor — we do not store your full credit card number)
Team Members:
- Full name
- Email address (if provided by the account holder)
- Role or identifier within the business
Customers (Reviewers):
- Video recording (your likeness, voice, and any content you choose to share in the video)
- Name (if voluntarily provided during the review process)
We want to be clear: customers who record video reviews are not required to create an account, provide an email address, or download any application. The review process is designed to collect as little personal information as possible from the reviewer.
2.2 Information Collected Automatically
When you use our website or platform, we may automatically collect:
- Device information: Device type, operating system, browser type and version
- Log data: IP address, access times, pages viewed, referring URL
- Usage data: Features used, actions taken within the dashboard, frequency of use
- QR code scan data: Time and date of scan, device type used for scanning (we do NOT collect the location of the person scanning the QR code)
- Cookies and similar technologies: See Section 7 for full details
2.3 Information from Third-Party Platforms
If you connect your accounts, we fetch review data from:
- Google My Business: Your business reviews, ratings, and reviewer display names as shown publicly on Google
- Facebook: Your business page reviews, ratings, and reviewer display names as shown publicly on Facebook
- Trustpilot: Your business reviews, ratings, and reviewer display names as shown publicly on Trustpilot
We only access publicly available review data from these platforms. We do not access private messages, personal profiles, friend lists, or any data beyond what is already visible on your public business listing.
3. How We Use Your Information
We use the information we collect for the following purposes:
To Provide the Service
- Creating and managing your account
- Generating unique QR codes for your business and team members
- Receiving, storing, and displaying video reviews
- Storing and organizing before-and-after project photos
- Fetching and displaying reviews from connected third-party platforms
- Powering the embeddable reviews widget on your website
To Improve the Platform
- Understanding how users interact with features
- Identifying and fixing bugs or technical issues
- Developing new features based on usage patterns
To Communicate With You
- Sending account-related notifications (trial status, billing, important updates)
- Responding to support requests
- Sending product updates or tips (you can opt out of non-essential emails at any time)
To Process Payments
- Managing subscription billing through our third-party payment processor
To Protect Our Platform and Users
- Detecting and preventing fraud, abuse, or unauthorized access
- Enforcing our Terms of Service
We do NOT use your information to:
- Sell your personal data to third parties
- Run advertising profiles on you
- Contact your customers for our own marketing purposes
- Share your reviews or portfolio with anyone other than as directed by you
4. Video Reviews — Special Provisions
Video reviews are central to Sync Reviews, so here is exactly how we handle them:
Recording and Consent
When a customer scans a QR code and records a video review, they are voluntarily choosing to create that content. The act of scanning the code, recording the video, and submitting it constitutes informed consent to have that video stored and used by the business that collected it.
Ownership and Usage
- The video review is stored in the account of the business whose QR code was scanned
- The business owner (Account Holder) can: view the video, download it, post it to social media, and display it via the Sync Reviews website widget
- Sync Reviews does NOT claim ownership of video content — the video remains associated with the business that collected it
Reviewer Rights
If you recorded a video review and would like it removed, you may:
- Contact the business that collected the review and request removal
- Contact Sync Reviews directly at support@syncreviews.com, and we will work to facilitate the removal
We take removal requests seriously and will respond within a reasonable timeframe.
Storage
Video reviews are stored securely using Supabase, a trusted cloud infrastructure platform with built-in encryption, access controls, and secure data management. Videos are retained as long as the business account is active or until deletion is requested.
5. Before and After Photos — Special Provisions
Upload and Storage
Before-and-after photos are uploaded by team members and stored within the business account on Sync Reviews. Each photo set is tagged to the team member who uploaded it.
Usage
The business owner can view, download, and use these photos for marketing purposes (social media, website, presentations, etc.). Sync Reviews does NOT use your project photos for our own marketing without explicit permission.
Customer Privacy in Photos
We strongly recommend that businesses ensure job site photos do not include identifiable images of customers, personal belongings with visible private information, or anything the homeowner would not want publicly shared. The responsibility for the content of uploaded photos lies with the business and the team member who uploads them.
6. How We Share Your Information
We do not sell your personal information. Period.
We may share information only in the following limited circumstances:
With Service Providers
We work with trusted third-party providers who help us operate the platform. These include:
- Payment processing (e.g., Stripe or similar — to handle billing securely)
- Cloud hosting and storage (to store data and video content)
- Email delivery (to send account notifications)
- Analytics (to understand platform usage)
These providers only receive the minimum data necessary to perform their function and are contractually obligated to protect your information.
With Connected Platforms
When you connect Google My Business, Facebook, or Trustpilot, we access your public review data through their official APIs. We do not share your Sync Reviews data back to these platforms.
As Required by Law
We may disclose information if required to do so by law, regulation, legal process, or enforceable government request.
Business Transfers
If Devbion LLC (or Sync Reviews as a product) is involved in a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction. We would notify affected users before their data becomes subject to a different privacy policy.
With Your Consent
We may share information in other ways if you give us explicit permission to do so.
7. Cookies and Tracking Technologies
What We Use
We use cookies and similar technologies to keep the platform running smoothly and to understand how people use it.

8. Data Security
We take the security of your data seriously and implement industry-standard measures to protect it, including:
- Encryption of data in transit (SSL/TLS)
- Encryption of sensitive data at rest
- Secure password hashing (we never store passwords in plain text)
- Regular security reviews and updates
- Access controls limiting employee access to user data on a need-to-know basis
- Secure cloud infrastructure with Supabase
No system is 100% secure. While we take every reasonable step to protect your data, we cannot guarantee absolute security. If we become aware of a data breach that affects your personal information, we will notify you and relevant authorities as required by applicable law.
9. Data Retention
Active Accounts
We retain your data for as long as your Sync Reviews account is active.
Cancelled Accounts
If you cancel your subscription, your data (reviews, photos, settings) is preserved in case you choose to reactivate. We retain this data for 12 months after cancellation, after which it may be permanently deleted.
Deletion Requests
You can request complete deletion of your account and all associated data at any time by contacting us at support@syncreviews.com. We will process deletion requests within 24-48 hours.
Video Reviews
Video reviews are retained as long as the associated business account is active or until a deletion request is made — either by the business owner or by the individual who recorded the review.
10. Your Privacy Rights
Depending on where you are located, you may have specific rights regarding your personal data:
For All Users:
- Access: You can request a copy of the personal data we hold about you.
- Correction: You can request that we correct inaccurate information.
- Deletion: You can request that we delete your personal data.
- Opt-Out of Communications: You can unsubscribe from non-essential emails at any time using the unsubscribe link in any email.
For California Residents (CCPA/CPRA):
You have the right to:
- Know what personal information we collect, use, and disclose
- Request deletion of your personal information
- Opt out of the sale of your personal information (we do not sell personal information, but you have this right regardless)
- Non-discrimination for exercising your privacy rights

Our legal basis for processing your data includes: performance of a contract (providing the service), legitimate interests (improving the platform, security), and consent (where applicable, such as marketing emails).

11. Children's Privacy
Sync Reviews is a business platform designed for home service professionals. Our service is not directed at anyone under the age of 16, and we do not knowingly collect personal information from children.
If you believe a child under 16 has provided personal data to us — including through the video review process — please contact us at support@syncreviews.com and we will promptly delete that information.
12. Third-Party Links
Our platform or website may contain links to third-party websites or services (such as Google My Business, Facebook, or Trustpilot). We are not responsible for the privacy practices of these external sites. We encourage you to read the privacy policies of any third-party service you interact with.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
When we make changes:
- We will update the "Last Updated" date at the top of this page
- For significant changes, we will notify active account holders via email
- Continued use of the platform after changes are posted constitutes acceptance of the updated policy
